How To Use Outlook 2016 Categories

Outlook Categories feature can be very helpful when working with messages: attach colors to different kinds of messages making them distinct from each other in your inbox and compiling them into groups thus making it easy to see all emails attached to the group. Depending on your intents different sections can be created to mark specific information that is important to you, which can help you find necessary information and complete certain tasks faster. A great example would be for a marketer to create a Keywords: Email Finder and Email Verifier section and store all the keywords that have a connection to email finder and email verifier topics there.

To work with Categories in Outlook and utilize all its features you first need to create a new section or change the one you already have, then attach a section to a new email or emails. Finally, you can browse all messages in your inbox by sections to look through emails that have been marked.

How to create a brand new Outlook Category

  1. Find a Tags category (it should fifth category from the right) on Home dashboard of Outlook and press Categorize.
  2. A drop-down menu will appear right under Categorize, go down to the end of the menu and press All Categories.
  3. A pop-up with the name Color Categories will appear, press New on the right side of the box.
  4. In Add New Category window type a name of your category in the name field.
  5. Attach a color you chose from the Color menu.
  6. Now, close your Add New Category window by pressing the OK button.
  7. Save your section by pressing the OK button one more time in the Color Categories window.

If you want to modify one of the Categories you already have or alter the name of the section, follow the next steps.

How to change the name of the Outlook Category you already have

  1. Find a Tags category (it should fifth category from the right) on Home dashboard of Outlook and press Categorize.
  2. A drop-down menu will appear right under Categorize, go down to the end of the menu and press All Categories.
  3. A pop-up with the name Color Categories will appear, proceed by pressing on the category that requires a name change.
  4. Press Rename to change the name of your category.
  5. In the required field fill in the new name of your section.
  6. Save your new name by pressing OK button.

When you are finished making and modifying your section list, how do you want it to look, you can go on with attaching color Categories to the emails, in several ways.

How to add color Categories to Outlook messages using Quick Click

We all have one section that we refer to on a daily basis. With Quick Click feature you can easily access your most visited article in a moment.

  1. Find a Tags category (it should the fifth category starting from the right) on Home dashboard of Outlook and press Categorize.
  2. A drop-down menu will appear right under Categorize, surf down to the end of the menu and press Set Quick Click.
  3. When you get to the Set Quick Click Window, open the list and take the section you want to have as a default.
  4. Press OK button and store your Quick Clicks.

If you ever want to change your Quick Click color, just repeat these four steps. You can revert all changes simply by following all this steps again.
